Girling Jones are looking to appoint a Project Co-ordinator based in our Western region.

This is a Fixed Term Contract for 12 months, working 37.5 hours per week. It will is a Hybrid role, working from both home and our Bristol office.

Reporting to the Facilities Manager, you will be providing administrative and planning support for the Bristol Schools Project requirements on the PFI contract. Your role will be integral in the creation and delivery of scheduling and coordinating Projects, Managed works, Variations and Life Cycle works. You will be ensuring all compliance, pricing, project documentation, files and auditing tools are kept up to date and be responsible for overseeing, pricing, and implementing project, managed works, variations and Life Cycle requirements for the contract. You will attend site meetings with key stakeholders as required.

Your mission

  • Creation of Variation and Life Cycle requests, scheduling variations and reviewing / overseeing the implementation of the Variation works, including closing out Variations once completed ensuring all files and drawings etc. are updated and billing is completed.
    * Implement strategic planning of works including monitoring and updating stakeholders at key stages of the project, managed work, Variation or Life cycle works.
    * Preparation and co-ordination of quotations, raising purchase requests, liaising with suppliers and contractors ensuring accurate specifications are met.
    * Maintaining positive client relationships, arranging and lead site meetings, access, and planning requirements.
    * Hold contractor pre-start meetings and progress meetings as required.
    * Working within the team and liaising with other site service streams to reduce disruption and impact lifecycle, variation and other managed and project work has on the contract service delivery.
    * Comply with all Health and Safety legislation and BAM FM policies. Comply with Safe Systems of Work, Policies & Procedures.
    * Responsible for ensuring all relevant documents, files, data sheets, drawings and plans are updated, maintaining accurate records following the completion of, Lifecycle, Variation, managed and project works. Update all elements of contractual requirements.
    * Advise on new technology when considering life cycle, variation and other project works, taking into consideration sustainability.
    * Creating and maintaining project documentation and detailed reports.
    * Monitor the spend and programme, updating stakeholders in a professional and timely manner.
    * Undertake and lead projects, managed works, Variation and Life Cycle works.
    * Ensure all projects are delivered on time and within budget with risk and opportunities identified.

* Professional Certificate in Health and Safety (ISOH) desirable or working toward.

* Excellent literacy and numerical skills.
* Organised and demonstrates excellent time management skills.
* Good at multitasking and prioritising.
* Able to communicate at all levels and confident in building relationships.
* Excellent communicator and collaborator.
* Flexible working approach as workload dictates.

Experience Required
* Proven project background / experience in a similar environment is essential.
* Knowledge of the FM Hard Services industry is essential.
* Experience of CAFM systems is advantageous.
* Experience in client interaction will be essential.
* Microsoft Package experience.
* Knowledge of statutory compliance within the industry.
